We wear multiple hats: as a travel advisor helping you secure your flight or other journey-related provisions (exclusive amenities) and as a Package orchestrator. Our obligations align with the type of travel services you seek from us. For clarity and user-friendliness, we've endeavored to outline our terms as transparently as possible.

Securing Your Travel Plans

Every service we offer is contingent upon its availability. Prices listed on our website are subject to change until they are formally ticketed. When you engage with us, it's imperative to acknowledge and accept these terms, not just for yourself but for all the travel companions associated with your booking. Additionally, if you're booking for multiple travelers, it's your responsibility to ensure that each member of your group is informed about and settles their respective payments. You bear the responsibility for the accuracy of the information provided to us, and for ensuring that the details shared are communicated to every member of your travel party.

At the time of your reservation, you're expected to remit the stipulated payment. Remember, a formal agreement will only be in place once we acknowledge the booking, and once a partial deposit or the full amount is transferred to us via the approved methods. Confirmation, either on behalf of www.airlinesbooking.co.uk or the respective service provider, solidifies this agreement. Ensure that names provided during the booking match those on the respective passports.

Digital Reservations

When securing reservations online via our platform, it's crucial to furnish all relevant information with accuracy. As online reservations are automated, you bear full responsibility for the accuracy of the information you input, including but not limited to the completeness of bookings, precise flight or hotel selections, and ensuring the names and details of all travelers match their respective passports. We emphasize that we aren't accountable for any discrepancies or inaccuracies in the data you submit or how you input it on our platform. Please be aware that any such inconsistencies may incur additional charges which will be your responsibility. If utilizing a credit/debit card for payment, ensure it's either in your name or that you have received authorization from the cardholder. The card must have sufficient funds to cover the entire cost of the reservations and any additional requirements you've chosen through us. Upon receiving and accepting your booking, we'll initiate the reservation process (subject to availability), and the relevant charges will be deducted from your account. Subsequently, a confirmation email with the receipt will be dispatched to your provided email address. We do not guarantee the availability of flights, packages, or any other offerings post your booking nor can we vouch for our online reservation system being devoid of potential harmful elements like viruses.

Reservations via Phone

When securing reservations through a phone call with our team, it's imperative to verify all pertinent details according to your requirements. Confirm that the information you provide aligns with the details in your passport and is accurate. Your booking isn't assured until we have received the designated payment and you confirm its dispatch. A verbal booking is considered finalized once documented. Upon validating your reservation, we'll initiate the required processes and your designated credit/debit card will be charged. Subsequently, an electronic ticket or a confirmation email encompassing your receipt will be sent to your provided email address. Please note that from this moment, any cancellation fees will be effective. We urge you to meticulously review all provided details and reach out to us promptly for any corrections, as modifications may be challenging later on. Any adjustments made post finalizing the booking might incur additional fees, including administrative costs and service charges.

Call Records

We record selected phone conversations related to bookings for training and quality assurance. These recordings are periodically reviewed to enhance our service delivery and ensure optimal client experience.

Payment Methods

All payments for your travel should be completed by the specified date on the invoice we provide. For reservations made over the phone, full payment might be required upfront, even before you receive the invoice. Timely payments are crucial as any delay could lead to your booking cancellation and applicable cancellation fees. If a "booking fee" is applicable, it will be communicated to you during the reservation process. Do note that payments made by cheque require approximately 7 days to clear. Until the complete payment is made, be aware that your booking price might vary due to changes like fuel surcharges or other service provider fees. We do not take responsibility for cash payments sent through mail or courier, regardless of the delivery method used.

Travel Documentation

It's your responsibility to ensure all necessary documents, such as passports, visas, and health certifications, are in order. Reach out to the relevant embassies to stay updated about visa and passport requirements, as they can change without prior notice. We are not accountable if you're denied entry into a country or onto a flight because of missing or inappropriate documentation. Your passport should be valid for at least six months beyond your return date. Ensure all necessary documentation is available for each country you'll be transiting through or visiting. For more guidance, contact your local Passport Office. Special conditions apply for travelers to certain countries, like the USA.

If traveling to South Africa with minors (under 18 years), it's mandatory to carry their birth certificates. Before departure, always consult with the Foreign and Commonwealth Office about current entry requirements. Visit www.fco.gov.uk for detailed information.

Health Precautions

Seek advice from a healthcare professional about any vaccinations or precautions needed for your destination. The Foreign and Commonwealth Office (FCO) suggests consulting a doctor about six weeks before traveling to get the latest health recommendations. If you fail to adhere to any travel health regulations, we will not bear any resulting costs or responsibilities. Ensure to compensate us for any losses or expenses we incur due to your non-compliance.

Special Needs and Health Issues

If you have specific needs or health concerns, please inform us during the booking process. We will relay these requests to our service providers, but we cannot guarantee their fulfillment. Unmet requests won't be seen as a breach of our contract. If you have health conditions that may affect your travel experience, notify us before finalizing your booking. We understand that certain destinations may not be equipped to cater to travelers with specific needs. If we cannot address your concerns satisfactorily, we reserve the right to cancel your booking and apply any related charges.

Adherence to Laws

Your responsibility is to strictly adhere to the customs, laws, foreign exchange regulations, and drug rules of each country you visit. If we or our representatives discover any involvement in illegal activities or behaviors deemed socially intolerable, we reserve the right to cancel your booking without any liability for claims or refunds on our part.

Insurance Requirements

As part of your agreement with us or the respective service provider, it's imperative to secure comprehensive travel insurance. Your chosen insurance must cover sudden vacation losses, cancellation costs, medical expenses, including personal accidents and air ambulance provisions. If you opt for insurance from a source other than us, you must provide detailed written information and sign an indemnity form on behalf of yourself and your traveling companions, freeing us and our overseas representatives from any liability for potential charges.

Claims and Addressing Issues

When we operate as an intermediary, your contract is directly with the concerned service provider, and any queries or complaints should be directed to them. If you encounter any problems during your journey, please address them immediately with the relevant service provider, agent, or representative. Failing to do so might reduce the chances of addressing your concerns effectively. After your trip, if you have any grievances, please reach out to our customer service. We will ensure your concerns are addressed promptly.

Judicial Jurisdiction

This agreement operates under English Law. Should disputes arise between both parties, they will be subject to the jurisdiction of the courts in England. Alternatively, you may choose the jurisdiction of Northern Ireland or Scotland, if preferable.

Supplier Conditions

Most of the services that constitute your chosen holiday are provided by independent third-party suppliers. These services come with their terms and conditions, which become an integral part of your contract with us or the respective supplier. In line with International Conventions, some of these conditions might limit or exclude the supplier's liability to you. Copies of these terms and conditions can be availed either from us or directly from the suppliers.

Flight Information and Documentation

It's important to understand that a flight labeled as "direct" on your ticket might not necessarily mean it is non-stop. Departure and arrival times indicated on your flight ticket are provided by the respective airline and are estimates. They are subject to change due to various reasons such as weather conditions, air traffic control, airport constraints, or passenger check-in times.

If you miss a portion of your flight without informing the airline, the remaining segments of your journey might be canceled without prior notice. Under such circumstances, we bear no liability for any incurred charges. If a particular flight falls under the EU blacklist, we reserve the right to change the airline. Any such changes made post-ticket issuance will be communicated to you either at the check-in counter or at the boarding gate.

Review and Dispatch of Travel Documents

Your travel documents will be dispatched to the email address you've shared with us unless specified otherwise. It's your responsibility to ensure that all provided details in these documents are accurate. Any discrepancies should be immediately reported to us. Any delay in reporting can exempt us from any responsibility, and modifications may come with additional charges. It's noteworthy that travel documents will be dispatched only once we receive the full payment as per the stipulated terms. Typically, documents are sent out a week before your departure date. Dispatching via post or fax is at our discretion and might come with additional charges. If your travel documents get lost or delayed, you would bear the additional costs we incur to resend or reproduce the documents. For last-minute bookings, there might be special delivery methods for documents, the costs of which will be conveyed to you during the booking process.

Flight Reconfirmation

It's imperative that you reconfirm all flights at least 72 hours prior to the departure time indicated on your ticket. This practice is essential for both outbound and return flights. Please be advised that we cannot be held responsible for any additional expenses incurred due to your failure to reconfirm flights.

Understanding E-Tickets

Several airlines now offer the convenience of electronic ticket confirmation, commonly known as 'e-ticketing', for certain routes. When traveling on an e-ticket, a printed itinerary or, upon request and if permitted, a paper ticket might be provided to you. Opting for a paper ticket might entail additional service fees, typically £10 per ticket, which will be added to your overall flight charges.

Refund Policy for Airline Tickets

Refunds for airline tickets are subject to an administration fee of £75 per ticket. Additionally, you will be liable for any cancellation fees per ticket levied by either the airline or the consolidator, as per their respective terms and conditions.

Should the refund value of a retrievable ticket fall below the stated fees, the ticket is rendered non-refundable. Your refund will only be processed once we've received the respective amounts from the consolidator or airline. Generally, the process for airline ticket refunds takes about 4 to 5 weeks from the day the tickets were submitted for refund consideration.

Amendments in Flight Schedules

If there are any changes in your flight, the specific rights and solutions available to you will be governed by the carrier's terms and conditions of carriage. Consequently, you may be entitled to:

  • Travel on an alternative flight with the same airline at no additional charge.
  • Rerouting to your desired destination with a different airline without any additional costs.
  • Receive a full refund.
  • Avail any other compensation or remedy that may be applicable.

If any changes are to be made in your itinerary prior to the arrival of your receipt indicating the full fare, or before the issuance of your ticket (be it for the return or outbound journey), we will make every effort to notify you on behalf of the airline involved.

Departure Levies

It's not always feasible to incorporate every departure tax into the cost of your flight ticket. In certain situations, these taxes have to be paid by you directly to the government of the country you are departing from, and such fees are non-refundable by us.

TERMS AND CONDITIONS FOR AGENCY RESERVATIONS AND FLIGHT-PLUS TRANSACTIONS

Formation of the Agreement

When you make a Flight-Plus or Individual Components reservation through us, we finalize the booking acting as representatives for the service provider(s) such as airlines or hotel chains. It's essential to understand that the contract you enter into is governed by the service provider's specific terms and conditions. These terms may sometimes contain restrictions or exceptions to the provider's liability towards you, often in line with international agreements. Should you wish to access the detailed terms of service of the service provider or details on international conventions, you can send us a written request. Being an agent, we are not accountable for any amendments, additional services, or acts undertaken or provided by the service provider.

Our platform offers a variety of travel-related services, from flights to hotel accommodations to car rentals, all of which are sourced from third-party travel service providers. When you book or avail of any of these services, it's vital to recognize that your contract is directly with the provider and not with us. While our platform allows you to tailor your travel arrangements to your specific needs, such custom bookings do not qualify as packaged holiday reservations, meaning they aren't protected under the Package Travel Regulations. The contract-making process is initiated once the service provider confirms your selected options.

Modifications at Your Request

If you wish to make any alterations or cancellations to your booking, we request you to send us a written notification. Please be aware that we'll act upon your request only once we've received it. If you decide to modify or cancel your reservation, the respective service provider may impose change or cancellation fees, as outlined in their terms and conditions document. These fees can sometimes amount to the entire cost of the booking. In addition, we might charge an administration fee per individual, the specifics of which will be communicated to you at the time of the amendment.

Payment Procedures

Upon making a deposit, it's imperative to ensure the complete payment by the specified balance due date. If we do not receive the full payment on time, we may, after notifying your service provider, have to cancel your reservation. The provider may then levy cancellation fees as laid out in their terms and conditions. It's important to understand that all payments for your travel services are held by us on behalf of the provider.

Handling Your Data

Your personal data is used to facilitate the booking process and to ensure seamless and efficient travel arrangements on your behalf.

Unforeseen Circumstances

We won't be held accountable, nor will we offer any compensation if we are forced to alter or cancel your travel plans due to extraordinary and uncontrollable events. This includes situations such as civil disturbances, wars, threats of wars, industrial disputes, terrorist activities and consequences, flight issues, fires, severe weather conditions, natural disasters, health emergencies like pandemics, port or airport closures, and any other unforeseen circumstances beyond our or our travel providers' control.

Cancellation Procedures

Air Ticket Cancellation: Typically, airline tickets become non-refundable, non-changeable, and non-re-routable once issued, unless otherwise specified. Some service providers, especially airlines, may consider changing the name on a ticket as a cancellation, thereby not processing a refund. Unused flight tickets, especially the outbound sector, may be automatically cancelled by the airline, with no possible refund for missed flights. Tickets that are partially used are generally non-refundable.

For Other Services: For all other services, standard charges apply unless explicitly stated in your invoice or the service provider's terms. The refund amount you receive depends on the amount you've paid: partial payments result in partial refunds, whereas full payments lead to full refunds.

Any changes or cancellations and their associated costs will be communicated to you promptly.

Supplier-Initiated Cancellations & Changes

If the service provider modifies or cancels your booking, we will notify you promptly. If a substitute service or full refund is offered, we need your decision within a specified timeframe. If you don’t communicate your choice, the provider will assume you opt for a full refund. We bear no responsibility for any alterations or cancellations made by the service provider as per your contract with them.

Our Obligations to You

Our agreement only extends to acting as an intermediary between you and the service provider. As agents, we are only accountable for processing your booking as per your requests. Any information we share is done in good faith. If we are found liable for any lapses on our part, our maximum compensation will not exceed twice the cost of your booking (or the relevant portion if not all travellers are affected). Nonetheless, we retain all responsibility for any personal injuries or fatalities that arise due to negligence on our or our employees' part while executing their duties.
